Room Bookings
How to book the Library Seminar Room and Library Meeting Room 2.01 via your individual Outlook
You can self book the Library Seminar Room using your Outlook Resource Calendar.
Once your meeting time is selected, you must "invite" the Seminar room (Lib Bun Seminar room and/or Library Meeting Room 2.01) to your meeting under "invite attendees" - this will action your booking and you should receive an email of confirmation.
If you are having difficulties viewing the "Lib Bun Seminar room" and/or "Lib Bun Meeting Room 2.01" in your Shared Calendar you may wish to follow the steps outlined below to add this room to your Shared Calendar:
- When selecting "Open Shared Calendar" via your Outlook Resource calendar, click on "Name" to bring up Global Address List.
- Enter the words "Lib Bun Seminar room" and/or Lib Bun Meeting Room 2.01
- Under this heading you may see a number of library rooms listed. You will notice that many of these rooms are for (Library use only) with the exception of the Seminar Room and Library Meeting Room 2.01.
- Select the "Lib Bun Seminar Room" then add this room to your calendar. It should then automatically come up on left hand side of your Resource Calendar.
- By ticking the box "lib Bun Seminar Room" and/or "Lib Bun Meeting Room 2.01" you will be able to view this calendar to see your booking.

Condition of Use for the Library Seminar Room and Library Meeting Room 2.01 by La Trobe University staff
Please note:
- The Library reserves the right to cancel bookings if required for Library use
- The Library discourages permanent bookings
- Please bring your current staff card when collecting the access swipe card to the Seminar room.
Change over between Bookings
- When making your booking, allow at least 15 minutes between existing bookings to allow previous user to vacate the room.
Furniture (only applicable for the Library Seminar Room)
- Available furniture - 17 tables, 30 chairs, 1 PC, AV teleconferencing and videoconferencing equipment, 2 whiteboards, 1 hot water urn, 1 fridge.
- Any relocation of furniture should not involve movement of tables that disconnect or cause damage to power cables
- Any change to furniture layouts should be replaced to the previous layout.
- Time must be allowed to move furniture back to pre-existing layout within your booked time.
Beverages & Food Used in the Room (only applicable for the Library Seminar Room)
- All beverages and food must be supplied by the person who has booked the room unless by previous arrangement with Library staff.
- All clearing up of beverages and/or food will be the responsibility of the person who has booked the room.
- You are required to place all rubbish into the bins
- Tea and Coffee removed from the room
- Table tops should be left clean
Technical/ Audiovisual Use (only applicable for the Library Seminar Room)
- The Library offers no support of the video conferencing facilities and/or IT equipment. Audio visual and IT facilities are self service. Instructions are available on the table next to equipment.
- Before use of the Library Audio visual and conferencing equipment, you are required to attend the University Audio-Visual training(which focuses on basic use of AV equipment and video conferencing).

If you should experience any technical issues with the equipment, please call the ICT Help on ext 1500 and ask for Audiovisual Services.
