Print and AV Reserve Collection

A Guide for Staff

What is the Reserve Collection?

Reserve is made up of collections of high use material. Teaching staff may place items in Reserve Collections to ensure that recommended material is available when required by students.

The Print Reserve Collections include:

  • Books
  • Journals
  • Reference material
  • Books of readings
  • La Trobe University Handbooks (for current year only).

The AV Reserve Collections include:

  • Video Recordings
  • Kits
  • CDs
  • Slides
  • Computer files
  • Cassettes

General Reserve material and books of readings may be taken out of the library for the duration of the loan.
Reference books and Journals may only be used within Reserve
AV Reserve may only be used within the library.
NB: Borrowing from the Reserve Collections is restricted to La Trobe University Students and Staff only.

How to request material to be added to Reserve?

Requests to add material to either Print and/or AV Reserve may be made by using the Request Forms.

How many items can be placed on a Reserve List?

Due to space restrictions in the Reserve area it has become necessary for us to review the number of books added to the Reserve Collection annually.

It is suggested a limit of 25 books per list for 3 Hour Loan. If you require more than 25 books per list, please contact the Library to discuss your particular needs. This limit will only apply to books for 3 Hour Loan. You may wish to take advantage of the 3 Day Loan or 7 Day Loan Collections.

3-Day/7-Day Loan Collection?

Books and AV material may be placed into the 3 day and/or 7 day loan collection at the request of teaching staff. Items for 3 day and/or 7 day loan are shelved within the general book or AV collections. They have a clear, bright 3 or 7 sticker on the spine.

How can requests for material be processed faster?

There are a couple of ways to help process your Reserve Collection requests more quickly:

  • Collect and bring the books you have requested to the Reserve desk and discuss your requirements with staff.
  • Collect and bring the AV material you have requested to the Audio Visual Desk and discuss your requirements with staff. (Bundoora only)
  • Ensure that your submitted Reserve requests are filled in accurately; please include all the items details, as well as the lecturer’s name and contact number, unit name, unit code, campus and the number of students enrolled in the class if known.
The Library does not hold a book that is required in the Reserve Collection?

If you require the Library to place an order for an item on your list, insert details of the item at the end of your list. Include as much information as possible, such as, author, title, edition, name of publisher, place and year of publication, ISBN. Indicate beside the item Please order.

The Library will endeavour to purchase the item as quickly as possible. However, please be aware that it may take a while for our suppliers to send us the orders. In the interim please discuss alternative options with Reserve staff.

The item I want is already in Reserve under another subject?

If an item has already been placed in Reserve for another subject it is important that you also request the items as this will ensure that the item will remain in Reserve for the duration of your subject.

When do requests for material need to be submitted?

While staff endeavour to process Reserve lists promptly, the early months of semesters are extremely busy, with a lot of teaching staff requesting material. In order for material to be available for the beginning of semester, any new requests should be submitted 2-4 weeks before required. All lists are processed in order of receipt.

How do I see a list of items requested for Reserve?
  • From the La Trobe University Library's catalogue select Reserve
  • In the box for Search by Lecturer type your family name, first name or initial e.g. Smith, John
  • If you teach more than one subject or have a variety of lists such as AV Reserve (Bundoora only), Print Reserve and Electronic Reserve, all your Reserve lists will display. You will need to access each of your lists separately. For each list, a number of titles should appear in alphabetical order.
I want to add additional/new material for my Reserve list?

To request additional material to be added to current or new Reserve list/s, submit through the Reserve Request Form.

I want my current list/s to remain in the Reserve location for the following year? (Bundoora only)

To update list/s of material currently housed in any or all of the Reserve collections: Print Reserve, AV Reserve and Electronic Reserve, use the Update Reserve request form.

How to Export records from the Library catalogue.
  • Access the Library catalogue
  • Search for the title you require by using Author, Title, Keyword, etc.
  • If only one title matches your search, a full title will display on the screen. The full display will include information about the collection the item belongs in, as well as the availability of the item. Records can be exported from this screen.
  • If a number of titles match your search, a list of brief titles will appear on the screen. The records from this screen can be exported. Alternatively, clicking on any of these titles will allow the full title to display on the screen.
  • Follow these instructions to export the records and either print or email the details so that they can be input into the Reserve Request Form.
